Stock Out Module

Detailed guide for analyzing stock dispatch trends and managing manual inventory deductions.

Stock Out Module

The Stock Out module serves a dual purpose: it acts as a powerful analytical dashboard for tracking all outbound inventory (including Sales), and it provides a mechanism to manually deduct stock for non-sales reasons (like damages or internal consumption).

1. The Analytics Dashboard

Navigate to Stock Out from the main sidebar. When you open the module, you are presented with a rich set of tabs designed for sales and dispatch analysis.

Filtering

Use the Date Range form at the top left to define the analytical period (e.g., This Month, Last Quarter).

Tab Navigation

  • Stock Out (Main Grid): An itemized ledger of every single outbound stock movement.
  • Product Wise: Groups the outbound data to show your highest volume products.
  • Category Wise: Analyzes movement based on broad product groups.
  • Salesman Wise: Tracks outbound volume attributed to specific sales staff.
  • Customer Wise: Identifies your top-moving clients.
  • Sales Channel: Differentiates outbound stock by channel (e.g., Retail, Wholesale, Online).

Summary Tab (KPIs & Charts)

The Summary tab is a visual dashboard for business intelligence:

  • KPI Cards: Track Total Revenue, Total Profit, Items Sold, and Average Profit Margin.
  • Charts: Includes a Daily Sales Trend line chart, Top 5 Products pie chart, and Godown distribution analysis.

2. Manual Stock Deductions

While most stock leaves the system automatically via Sales Invoices, you occasionally need to perform manual deductions.

[!CAUTION] Manual stock deductions bypass the Accounts Receivable flow. Using this will reduce your inventory without generating an invoice to a customer.

Common Use Cases:

  • Damaged Goods: Items destroyed in the warehouse (e.g., water leak, forklift accident).
  • Internal Consumption: Products used internally as marketing samples or given to staff.
  • Theft/Loss: Adjusting the system to match physical audits.

When processing a manual deduction, carefully select the target Product and Size, and ensure you provide a comprehensive Remark for auditing purposes so finance understands why inventory disappeared without associated revenue.
