Detailed guide for manually adding stock, entering opening balances, and making positive inventory adjustments.
Stock Entry Module
The Stock Entry module is used to manually increase your inventory quantities without creating a formal Purchase Invoice. This is typically used for initial data migration (Opening Balances) or correcting discrepancies found during physical stock audits.
[!WARNING] Manual stock entries bypass the standard Accounts Payable flow. Entering stock here will not credit a Supplier’s ledger. For standard purchasing, use the Purchase module instead.
1. The Stock Entry Dashboard
Navigate to Stock Entry via the main sidebar.
Dashboard Filters
- Company Dropdown: If managing multiple entities, select the target company.
- Start Date & End Date: Filter the history of manual stock adjustments.
- Click Submit to refresh the grid.
The Data Grid
The grid displays a complete audit trail of manual entries.
- Key Columns:
Product/Project,Size,Category,Color,Sales Rate,Qty,Box,MRP, and the targetGodown. - Inline Filtering: Use the text boxes at the bottom of the table to search for specific items or narrow down by Category.
- Actions: You can View, Edit, or Delete (requires Admin privileges) a manual entry. Deleting an entry will immediately deduct those items back out of your available stock.
2. Adding Manual Stock
Click the blue + Add Stock button to open the entry modal.
Product Definition
- Select the exact Product, Size, and Color you are bringing into inventory.
- Ensure the Category matches correctly.
Quantities & Valuation
- Qty / Box: Enter the physical count being added.
- Cost Per Piece: (Crucial) You must enter an accurate cost price. This value drives the Total Stock Value calculations on your balance sheet.
- Sales Rate / MRP: Update the retail pricing if necessary.
Location & Tracking
- Godown: Select the physical warehouse where these goods are being placed.
- Remarks: Always leave a detailed note explaining why a manual entry was made (e.g., “Found 5 extra boxes during Q3 Audit”).
Click Save to instantly update your global Stock Available count.
