Purchase Module (Improved)

The Improved Purchase Module is designed to handle every aspect of inbound inventory and vendor billing. It supports extensive customization of data entry grids, built-in supplier creation, barcode scanning, and multi-tier discount and tax calculations.

1. Accessing the Purchase Dashboard

Navigate to Purchase Invoice (or Improved Purchase) from the sidebar.

Top Level Controls & Filters

  • + New Purchase: Opens the main modal to record a new vendor bill.
  • Company Selector: Choose the specific business entity this purchase belongs to (e.g., Zubizi Demo).
  • Date Range (Start/End Date): Filter historical invoices. Click the Filter button to refresh the data table based on the selected company and dates.

The Purchase Data Table

The main dashboard displays a comprehensive list of all inward invoices.

  • Header Summary: Shows the currently filtered Company Name, Address, GST No, and Date Range.
  • Table Tools: Adjust Show rows (10 to 100), toggle Column visibility to declutter the view, and use the global Search... bar.
  • Columns Available: Id, Bill No, Date, Supplier, Company, Qty, Grand Total, UserName, and Action.
  • Inline Column Filtering: Below each column header is an individual dropdown or text input to filter exactly by that column’s data (e.g., filtering strictly by a specific supplier).
  • Bulk Actions: The Actions ▾ dropdown at the bottom allows for Multiple DELETE, letting you void several purchase records simultaneously.

2. Recording a New Purchase Invoice

Click + New Purchase to open the creation modal. This form is split into a header and a highly customizable items grid.

2.1 Basic Header Info

  • Supplier Dropdown: Type at least 2 characters to search your existing vendor database.
  • + Add New Supplier (Inline): If the vendor doesn’t exist, click this button inside the dropdown to open the Personal Account sub-modal. Here you can define:
    • Account Type (Supplier, Customer, Worker).
    • Type (Cash, Credit, Agency).
    • GSTIN (Includes an auto-fetch button to pull government data).
    • Standard fields like Name, Address, State, and Form Type.
  • Bill No: Enter the invoice number provided by the supplier.
  • Date & Company: Confirm the transaction date and receiving company.

2.2 More Information (Advanced Header)

Click More Information + to reveal secondary tracking fields:

  • Challan No & Notes: Input Challan No, Header Note, and Foot Note.
  • Customer & Godown: Link the purchase to a specific Customer (for dropshipping/back-to-back orders) and assign the incoming stock to a specific Godown (warehouse).

2.3 Customizable Items Grid (Show / Hide Columns)

The Purchase Module features a dynamic grid. Under the “More Information” section, you can toggle exactly which of the 31 available columns you need for this specific invoice.

  • Default Columns: Size, Quantity, Purchase Rate, Sales Rate, Amount, Disc (%), Taxable Amt, GST %, Total, Additional Details.
  • Optional Columns (Toggle on demand): Description, Barcode, Bale No, Sort No, Design No, Box Capacity, Grade, LR No, IMEI No, ROLL No, Color, Usage Purpose, Batch No, Mfg Date, Expire Date, Double Purchase Rate, Profit Margin, Sales Rate 1 & 2, GST ₹, CESS.

2.4 Adding Products to the Grid

  • Select Purchase Product: Use the search dropdown (min 3 chars) to find inventory items, then click the + button to add a new row to the grid.
  • Barcode Scanner Input: Alternatively, place your cursor in the Barcode: field and scan items to automatically add them to the grid.
  • Autofetch Data: Click this button to pull predefined pricing and size matrices for the selected item.

2.5 Discounts, Attachments & Financials

Below the grid, manage the bill’s financial adjustments:

  • Attachments: Use the Choose File input to upload a photo or PDF of the physical vendor invoice for auditing purposes.
  • Discounts: Apply global bill discounts via Discount(%), Discount Amt, Discount 2(%), or Discount 2 Amt. Built-in calculator buttons assist with complex deductions.
  • Taxes & Extra Charges:
    • View live calculations of Subtotal, Taxable Amt, CGST, SGST, IGST, and CESS.
    • Add Other Charges, Other Charges 2, or apply a TCS % deduction.
  • Finalization: The Grand Total is displayed prominently. A Round Off checkbox is available (and checked by default) to clean up decimal values. The current Supplier Due balance is also shown live.

Once all data is entered and the physical bill matches the system’s Grand Total, click Save.
