Personal Account Module (Improved)

The Improved Personal Account Module is a unified dashboard that replaces separate customer, supplier, and worker management pages. It allows you to create, edit, archive, and manage all your external business contacts and their associated financial metadata from a single interface.

1. Navigating the Module

When you open the Improved Personal Account module, you are presented with two main tabs: Accounts and Bulk Import CSV.

The Accounts Dashboard

This is the primary data grid displaying all registered entities.

  • Account Type Filter: Above the table, use the Account Type dropdown to quickly filter the grid (e.g., show only Suppliers or Customers).
  • Table Controls:
    • Show Rows: Adjust pagination (defaults to 10 rows).
    • Column Visibility: Toggle specific columns (Id, Account Type, Type, Name, Action).
    • Global Search: Quick text search across all visible data.
    • Enable Exact Match Search: A toggle in the footer to force strict search string matching.
  • Inline Column Search: Use the text boxes located below each table header to filter specific columns.

2. Managing Accounts (Row-Level Actions)

In the Action column of the grid, you have access to powerful account management tools:

  • View Details (Eye Icon): Opens a read-only popup displaying the full profile of the account, preventing accidental edits.
  • Edit (Pencil Icon): Reopens the account creation modal with pre-populated data, allowing you to update names, phone numbers, or addresses.
  • Archive (Box Icon): Soft-deletes the account. The row turns gray, and the account is hidden from active dropdowns in other modules (like Sales/Purchase).
  • Restore (Redo Icon): Appears on archived accounts. Click to reactivate the account.
  • Delete (Trash Icon): Permanently removes the account (requires confirmation). Note: Deletion may be blocked if the account has linked transactions.

3. Creating a New Account

Click the + Add New Account button to open the comprehensive creation modal. This form uses collapsible accordions to keep data entry organized.

3.1 Basic Info

  • Name: The legal name of the entity or individual.
  • Mobile / Phone / Email: Contact details.
  • Account Type: Essential categorization. Choose between Customer, Supplier, Worker, Bank, Cash, etc.
  • Type: Define the operational nature of the account (e.g., Credit, Cash, Agency).

3.2 Opening Balance Details

  • Used during system onboarding or fiscal year migration. Define the starting Balance and whether it is a Debit or Credit balance.

3.3 Address And Location Info

  • Input the Billing Address, Shipping Address, City, State, Pincode, and select the respective Country.
  • Form Type: Classify the tax registration status (e.g., Unregistered, Regular, Composition).
  • GSTIN / Tax ID: Input the tax identification number.
  • PAN No / Aadhaar No: Used for specific TDS compliance (mostly for Workers or individual vendors).
  • Bank Details: Track Bank Name, Account No, and IFSC Code for automated payment routing.

3.5 Pricing & Discounts Info

  • Credit Limit & Credit Days: Set maximum allowable outstanding balances and standard payment terms (e.g., Net 30).
  • Default Discount: Apply a standard, automatic discount percentage to all sales for this specific customer.
  • Price List Tracking: Assign them to a specific pricing tier (Agency Rate, Special Rate).

3.6 Account Details Info

  • Internal categorization fields like Custom Groupings, Assigned Salesman, or internal notes/remarks.

Once all necessary accordions are filled out, click SAVE 💾 at the bottom right.


4. Bulk Import via CSV

If you have hundreds of contacts from an old ERP, use the Bulk Import CSV tab.

  1. Navigate to the Bulk Import CSV tab.
  2. Click to Download Sample CSV to ensure your data matches the system’s exact schema requirements (e.g., account_type, name).
  3. Fill in your data using a spreadsheet editor.
  4. Drag and drop the saved CSV file into the designated upload zone.
  5. Click Import to create all the accounts instantly.
