While the standard method to increase inventory is through a Purchase Invoice or Assignment Receive, and the standard method to decrease inventory is a Sales Invoice, day-to-day business requires manual overrides.

This workflow explains how to use the manual Inventory Operations modules to adjust stock for physical audits, log damaged goods, enter opening balances, and track your global inventory health.


Step 1: Direct Stock Entry (Manual Inward)

If you are migrating from an old ERP and need to enter your Opening Balances, or if you found undocumented stock during a warehouse audit, you use the Stock Entry module.

  1. Navigate to Stock Entry.
  2. Click Add Stock.
  3. Select Product details: Choose the Product, Size, Color, and Category.
  4. Valuation: Enter the exact Qty being added. Crucially, input the Cost Per Piece so the system can calculate accurate inventory valuation.
  5. Location: Select the specific Godown (Warehouse) where this stock physically sits.
  6. Click Save. Result: The total Available Stock for this product increases immediately.

Step 2: Direct Stock Out (Manual Outward)

Conversely, if goods are damaged in the warehouse, consumed internally as samples, or lost/stolen, you must adjust the inventory downwards without generating a financial Sales Invoice.

  1. Navigate to Stock Out.
  2. Note: Depending on your system configuration, this module may also act as a secondary dashboard for all outward movements (including Sales dispatches), displaying high-level KPIs like Total Revenue and Profit.
  3. To manually reduce stock, initiate a new Stock Out entry.
  4. Select the Product, Size, and Quantity to deduct.
  5. Provide a valid Remark (e.g., “Water damage in Warehouse A”).
  6. Click Save. Result: The total Available Stock for this product decreases.

Step 3: Inventory Health Verification

The ultimate source of truth for your physical and financial inventory is the Stock Available dashboard.

  1. Navigate to Improved Finish Stock Available.
  2. This is a dual-purpose module. The Stock List tab provides a granular, filterable data grid showing exactly how many pieces of a specific Size/Color are in a specific Godown.
  3. Click the Stock Summary tab to view your global inventory health:
    • Total Stock Value: The financial sum of your warehouse (Available Qty × Cost).
    • Low Stock Alerts: A dedicated grid showing items that have fallen below your defined critical minimums.
    • Aging Analysis: Charts indicating how long inventory has been sitting, helping you identify dead stock.

By mastering these three modules, you can maintain 100% accurate inventory tracking across multiple Godowns, ensuring your Sales team never promises stock you don’t have.
