Expense / Income Module (Improved)

The Improved Expense Module (also functioning as a generalized Journal Entry interface) allows you to record day-to-day operational expenses, non-sales income, and internal fund transfers (Contra entries) while automatically maintaining double-entry accounting integrity.

1. Accessing the Dashboard

Navigate to Improved Expense from the main sidebar.

Global Filter Controls

Before viewing reports, you can narrow down the data shown in the grid:

  • Company Dropdown: Select the specific business entity whose expenses you wish to review.
  • Date Range (Start/End Date): Filter historical entries.
  • Click the Submit ✈ button to refresh the dashboard based on these parameters.

Data Table Overview

The main grid provides a comprehensive view of all journalized transactions:

  • Table Tools: Adjust Show X rows (pagination), toggle Column visibility, and use the global Search . . . box.
  • Available Columns: Id, Date, Account (The primary ledger), Amount, Payment Method, Cheque No, Bank, Against Account (The offsetting ledger), Remarks, and Action.
  • Column Filtering: You can perform targeted searches using the individual text boxes located beneath each column header.
  • Row Actions: Use the buttons in the Action column to View, Edit, or Delete an existing entry.

2. Recording a New Expense or Income Entry

Click the + Add New Expense button to open the “Add Expense / Income (Journal) Entry” modal. This form guides you through creating a balanced accounting entry.

2.1 Basic Details

  • Company & Date: Verify the company context and the transaction date (defaults to today).
  • Select Contra: Toggle this to Yes if you are simply moving money between your own accounts (e.g., Cash withdrawal from a Bank account).
  • Account (): Select the primary ledger account. If you are recording an expense, select the Expense Ledger (e.g., Office Supplies). If recording income, select the Income Ledger (e.g., Interest Received).
  • Amount: Enter the total financial value of the transaction.

2.2 Payment & Offsetting Account Section

  • Payment Method: Define how the transaction was settled. Choose from Cash, Cheque/DD, UPI, IMPS/NEFT/RTGS, or Online Payment.
  • Dynamic Cheque Details: If you select Cheque/DD (or other electronic methods), the form will dynamically expand to reveal:
    • Cheque No / Reference No / Card No
    • Cheque Date
    • Bank Name (Dropdown selection of your internal bank ledgers).
  • Select Against Account: Choose the offsetting ledger that funded the transaction. Note: If you selected a payment method like ‘Cheque’, this dropdown may auto-filter or default to your bank accounts.
  • Remarks: Add detailed notes or justifications for the entry.

2.3 Live Journal Preview

As you fill out the form, the Journal View Preview Section updates in real-time at the bottom of the modal. This is a critical accounting tool that shows exactly how the transaction will hit your General Ledger:

  • It displays the Date and Particulars.
  • It highlights the Debit (Dr) and Credit (Cr) sides of the transaction (styled in red/black), ensuring you can verify the double-entry impact before saving.

Click the blue Save button to finalize and post the journal entry to the ledger.
